We’re seeking a dedicated Executive & Personal Assistant who shares that same commitment to excellence—someone who brings structure, initiative, and care to everything they do.

 

Who We’re Looking For

You are highly organized, detail-oriented, and thrive in a dynamic, fast-paced environment. You take pride in accuracy, professionalism, and finding better ways to do things. You’re the type who naturally brings calm to chaos—someone who can manage multiple systems, anticipate needs, and ensure nothing falls through the cracks.

 

This role blends executive-level business support with personal assistance, requiring a hands-on, proactive individual who values both the big picture and the small details that make it work.

 

You’ll work closely with Caroline to manage business operations, scheduling, and client coordination while also providing occasional personal support to ensure her day flows seamlessly.

 

Schedule & Work Environment

  •  Tuesday–Saturday, 10:00 a.m.–6:00 p.m.

  •  Based primarily out of Caroline’s private office in Pueblo, CO

  •  Occasional local driving for errands, property visits, or business needs

  •  Flexibility for events or time-sensitive tasks as needed

 

What You’ll Do

Administrative & Business Support

  • Build, implement, and maintain systems for transaction coordination, lead tracking, and database management
  • Handle scheduling, calendar management, and daily organization with precision
  • Oversee contracts and paperwork from listing through closing, ensuring deadlines and compliance requirements are met
  • Maintain financial records including expense tracking, commission documentation, and monthly reports
  • Prepare spreadsheets, presentations, and correspondence using Google Workspace and Excel
  • Draft, proofread, and organize professional communications and client materials
  • Support listing and showing coordination, documentation, and follow-ups
  • Take initiative to streamline processes and support continued business growth

 

Personal & Executive Assistance

  • Coordinate errands, deliveries, and travel arrangements as needed
  • Manage event logistics and scheduling for meetings, closings, or special functions
  • Serve as a reliable point of contact for vendors, service providers, and team members
  • Anticipate needs before they arise—always one step ahead

 

Key Responsibilities

  • System development, implementation, and maintenance
  • Transaction and file oversight
  • Calendar, email, and communication management
  • Client and vendor coordination
  • Bookkeeping and administrative support (A/R and A/P)
  • Local errands, deliveries, and support for daily operations

 

Communication

  • Daily collaboration with Caroline Bourgeault and her team
  • Regular interaction with clients, vendors, title companies, inspectors, and lenders

 

Qualifications & Skills

  • Exceptional written and verbal communication skills
  • Strong organizational and project management abilities
  • Calm, professional demeanor under pressure
  • Tech-savvy; comfortable with Google Workspace, Excel, Canva, and CRM tools
  • Dependable, focused, and solutions-oriented
  • Valid driver’s license and reliable transportation required
  • High school diploma required; bachelor’s degree preferred
  • 1–3 years of administrative experience (real estate experience a plus)
  • Experience with buyers and sellers is preferred but not required
  • Real estate license is a welcome bonus
